The project was done on time and on budget, both key points. Connie was able to provide sage advice during consultant meetings and provided excellent training for our employees. She offered to assist in multiple areas and was of great value. The only negative experience was the lack of knowledge of transitioning off of our former provider and we lost some valuable data due to some confusion on the process.

UKG – Learn to use custom reporting to your advantage. Seems daunting at first but it’s been super helpful and efficient when trying to look at specific data sets.
Ascend – I don’t have any specific lessons learned, but the payroll service has been exceptional. As someone new to both the company and payroll processing, Linda’s guidance and support have been invaluable. There is never a shortage of ad-hoc payroll requests and she is always responsive, patient, and helpful. Her partnership has played a role in my success and I enjoy working with her.

For large healthcare organizations, workforce transformation is rarely just about implementing new technology. It’s about aligning people, processes, and policies across complex environments, often under tight timelines and high operational stakes.
With multiple hospitals operating on different workforce and human capital management systems, combined with a growing need for standardization, the organization set out on an ambitious journey: to modernize and unify workforce management through UKG Pro Workforce Management (WFM). To support this effort, Montefiore partnered with HyBridge Solutions, an Argano Company to help guide the implementation and navigate the complexity of a multi-wave rollout.
In this Beyond the Review, Bonnie Tinder, Founder & CEO of Raven Intelligence, sat down with Nick Khadaroo, UKG Domain Lead at Montefiore Einstein, to discuss what it takes to execute and sustain a transformation of this scale.
Years of acquisitions had left Montefiore Einstein with multiple systems, configurations, and processes across hospitals. Some teams were on legacy Kronos environments, others on different versions of UKG, and some on entirely separate platforms.
The result: inconsistency, inefficiency, and limited visibility.
“We had a lot of acquisitions… and we were all on different systems,” Nick explained. “We wanted to standardize our processes and move toward a system that could support us long term.”
The transition to UKG Pro WFM was not just a technology upgrade; it was an opportunity to rethink how workforce operations were structured across the entire organization.
An Ambitious, Multi-Wave Implementation
To execute this transformation, Montefiore partnered with HyBridge Solutions, an Argano Company, and structured the rollout into multiple waves.
Wave 1: Brought approximately 25,000 employees across four major entities onto UKG Pro WFM, including Timekeeping, Leave Management, Advanced Scheduling, Analytics, and dozens of integrations.
Wave 2: Expanded the footprint to additional hospitals, incorporating both migrations and net-new builds, while continuing to enhance earlier deployments.
Wave 3: Currently underway, the team continues to extend and standardize the system across the broader organization.
All of this was executed within an aggressive 18-month timeline.
“It was mind-boggling… we had such an aggressive timeline,” Nick shared. “And HyBridge got us there, they met all their deadlines.”
Choosing HyBridge Solutions
Montefiore’s selection of HyBridge was not by chance; it was grounded in both industry reputation and real-world referrals. Through years in the UKG ecosystem, Nick had built relationships with peers at other healthcare organizations, many of whom had worked with HyBridge and strongly recommended them.

“They came so prepared… everything that we were looking for,” he said.
What Made the Difference: Understanding Before Configuring
One of the most consistent themes in Montefiore’s experience was HyBridge’s approach to understanding the business before jumping into solutions.
Rather than applying a one-size-fits-all model, the team took time to learn:
– Union rules and labor complexities
– Existing workflows and naming conventions
– Organizational structure and policies
– User experience expectations across different roles
“They understood how we do business first… then came back with ideas on what would work for us,” Nick explained.
This approach was especially critical in a healthcare environment, where workforce policies are tightly tied to compliance, contracts, and operational realities.
Change Management Across a Complex Workforce
Beyond the technical complexity, one of the most significant challenges Montefiore faced was change management.
The organization’s workforce spans a wide range of users, from highly technical staff to employees with limited experience using digital tools. Successfully driving adoption across that spectrum required more than standard training; it required a thoughtful, human-centered approach.
HyBridge focused on meeting users where they were. Instead of introducing entirely new ways of working, they aligned the system with familiar processes and naming conventions, making it easier for employees to connect what they already knew with what they were learning. Throughout testing and training, the team provided hands-on support, taking the time to ensure users felt confident navigating the system.
“They made people feel comfortable… from leadership all the way down to non-management employees,” Nick said.
A Partnership That Delivered
From the outset, HyBridge brought a structured, highly organized approach, establishing frequent working sessions across modules, clear ownership of testing and validation, and strong project management to ensure alignment across teams.
“It was really organized… we had multiple weekly calls, testing, validation, everyone knew their responsibilities,” Nick noted.
But beyond execution, what ultimately set the engagement apart was the strength of the partnership.
Rather than limiting their involvement to defined project phases, the HyBridge team remained deeply engaged throughout the transformation, providing ongoing support across waves, offering additional documentation and guidance, and staying accessible even outside of formal project scope.
“I can call them… and they will pick up, even when they’re not on the project anymore,” Nick shared.
That level of responsiveness extended into how HyBridge approached problem-solving. Instead of prescribing a single path forward, they worked collaboratively with Montefiore to evaluate options, clearly outlining trade-offs and impacts while providing best-practice recommendations.
“They don’t just say ‘do it this way’… they give options, impacts, and recommendations,” Nick explained.
This combination of structure, responsiveness, and flexibility enabled Montefiore to not only meet its aggressive deadlines, but to do so in a way that supported long-term success beyond go-live.
The Role of Leadership in Transformation Success
When reflecting on what made the project successful, Nick pointed to one factor above all others: leadership alignment.
“Get the buy-in from leadership… the success comes from up above,” he said. With leadership actively involved, teams were better aligned, priorities were clearly established, and participation remained consistent across the organization. It also made it easier to remove roadblocks and reinforce accountability at every level.
In a transformation of this scale, that top-down alignment wasn’t just helpful, it was essential to maintaining momentum and ensuring long-term success.
What’s Next: Stabilization and Continuous Improvement
As Montefiore moves through its final implementation wave, the focus is naturally shifting from deployment to stabilization and long-term optimization.
Post-go-live efforts focus on supporting the system in real-world scenarios, ongoing configuration adjustments, and continued training to reinforce adoption among users. At the same time, structured governance processes are being put in place to evaluate and manage system changes as new needs emerge.
The work doesn’t stop at go-live. If anything, this phase is about refining what’s been built, ensuring it performs as intended, and continuing to evolve alongside the organization’s needs.
A Transformation Beyond Technology
Montefiore’s journey underscores a broader reality —successful workforce transformations aren’t defined by implementation milestones alone. They’re defined by what happens after: how well the system is adopted across a diverse user base, how effectively teams stay aligned in a complex environment, and how strong the partnership remains between the organization and its consulting team.
