When the pandemic struck, we were presented with several challenges due to our dynamic staffing module for numerous employees and hours. This included frequently changing rosters with work codes and creating new blank canvas schedules. It was frustrating for managers to try to staff and submit job assignments the traditional way. Working with HRTM, we constructed a hiring and staffing strategy that allowed us to staff our primary positions that were crucial to ensuring the security and safety of Yale during the pandemic.
The new methodology created was unlike anything that Yale had ever done in terms of scheduling and staffing. We utilized the automated hiring function in TeleStaff which eased the burden of managers and streamlined the staffing process. The combination of a new hybrid strategy for hiring and staffing combined with automation, freed up time for not only management but also for hourly employees.
Later, we approached HRTM to assist with another obstacle- our job bidding process. The original process was outdated allowing employees to bid for desired jobs that became available through attrition. This involved excessive paperwork and hours of work for managers to sift through the bids and manually assign the positions based on the unique criteria that was mandated by policy.
After reviewing our original workflow and processes, Thomas Moore our HRTM consultant, came up with a solution that would simplify the entire process for both managers and employees. Thinking “outside the box” Thomas configured the Auctions/Bidding module in a way that is not commonly used. This solution has made our job bidding process quicker and more efficient. Personalized training was then delivered by HRTM to our management team to aide in instituting these new processes. Once again by harnessing the technological features of TeleStaff and through the guidance from HRTM, Yale was able to advance it’s use of the TeleStaff product into areas it had never considered before.
